How to filter by email in Google Data Studio
Note: Google Data Studio is now known as Looker Studio.
If you want to personalize the data shown to a user in a Looker studio report then use the ‘FILTER BY EMAIL’ setting of your data source schema:
Use the ‘FILTER BY EMAIL’ setting if your data source contains an email field that stores the email addresses of your report viewers and you want the viewers of your report to see only that row(s) of data which is associated with the email address they used to sign in to their Google account.
In other words, if you want your report to filter data by current viewer’s email address then use the ‘FILTER BY EMAIL’ setting.
Note: If the email address of a report viewer is not present in the email field of the data source then he may not be able to see any data in the report.
In order to use the ‘FILTER BY EMAIL’ setting follow the steps below:
Step-1: Edit the data source schema which is connected to the data source that contains the email addresses of your report viewers.
Step-2: Click on the ‘FILTER BY EMAIL’ link:
Step-3: Click on the checkbox ‘Filter data by viewer email‘:
Step-4: Click on the drop-down menu ‘Select email field‘
Step-5: Find and click on your email field:
Step-6: Click on the ‘All Fields’ link:
Step-7: Click on the ‘Create Report’ button:
Step-8: Click on the ‘Add to Report’ button:
Step-9: Looker studio will ask your permission to personalize your report based on the email address you used to sign in to your Google account. Click on the ‘Allow’ button:
Once I clicked on the ‘Allow’ button, Looker studio will show only that row of data which is associated with my email address:
Now let us suppose my email address was not present in the data source. In that case, when I access this report, I won’t see any data:
How to stop filtering by email?
Step-1: Edit the data source schema which is connected to the data source that contains the email addresses of your report viewers.
Step-2: Click on the ‘FILTER BY EMAIL’ link:
Step-3: Uncheck the checkbox ‘Filter data by viewer email‘:
Step-4: Click on the ‘All Fields’ link:
Avoid using a scheduled email to send the Looker studio report that is designed to filter data by the viewer’s email address. Such a report when sent via a scheduled email will not filter data by the viewer’s email address. Instead, it will show data of the person who created the schedule email.
If you want to send a report with email filtering turned on, Google recommends to directly send the report link instead of using scheduled email.
